Administrator - Part Time
Job Description
The role of the Northern Project Administrator will be to provide support to the Northern team and to support with the running of the Northern office. (Initial Focus on O&M Manual Requirements)
Hours: 18 hours per week (9 hours per day: Potential Flexibility on which days Monday through Friday)
Requirements
· Assume the role of document controller on large-scale projects to provide additional support to the associated project teams.
· General administrative duties.
· Co-ordinate and schedule meetings for the team at request.
· Minute-taking for client and internal meetings.
· Tracking of project progress via NetSuite, Procore & departmental trackers.
· Support team members with paperwork, filing, placing orders and expenses.
· Ensure all paperwork has been completed compliantly.
· Create and raise purchase orders for materials, supply of labour and hire equipment upon request.
· Take ownership of client, sub-contractor and visitor queries upon request and follow through to resolution.
· Organise job folders to ensure all documents are accessible and in the correct location.
· Assist with the compilation of presentations, reports and general document creation.
· Aiding with onboarding suppliers and ensuring set-up is completed efficiently.
· Ensure the office is stocked with the appropriate stationary and sundries.
· Tracking and organisation of the weekly labour sheet.
· O&M Manuals creation and support.
· Department expenses reporting and reconciliation.
· Assist with inducting new starters to the team.
· Assist with the planning of events.
· Responsible for booking travel and accommodation for the team.
Responsibilities
